Privacy Policy

TAV & Partners Pty Ltd is committed to protecting the privacy of the personal information we hold. This policy explains what we collect, why we collect it, how we handle it, and how you can access it or make a complaint. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

Who this policy applies to

This policy applies to personal information we collect about clients, prospective clients, the officers and employees of client entities, suppliers, contractors and visitors to this website.

Because of the nature of accounting and taxation work, we frequently hold personal information about people who are not themselves our client — for example, the members of a family group, the beneficiaries of a trust, or the employees of a client whose payroll we administer. This policy applies to that information too.

The personal information we collect

The information we collect depends on the services we provide. It commonly includes:

  • Name, contact details, and the entities you are associated with
  • Tax file numbers, Australian Business Numbers and other government identifiers
  • Date of birth and identity verification material
  • Financial information, including income, assets, liabilities, transactions and banking details
  • Employment and payroll information, including superannuation details
  • Correspondence between us, and records of the advice we have provided

Tax file numbers

Tax file numbers are subject to additional protections under the Privacy (Tax File Number) Rule 2015. We collect tax file number information only where we are authorised to do so in connection with the taxation services we provide, we use and disclose it only for those purposes, and we do not use it to establish or confirm identity for any other reason.

How we collect personal information

Wherever it is reasonable and practicable, we collect personal information directly from you — in meetings and correspondence, through the documents and records you provide, and through this website's enquiry form.

We also collect information from third parties where you have authorised us to do so or where it is otherwise permitted. This may include the Australian Taxation Office, the Australian Securities and Investments Commission, your previous adviser, your bank or financial institution, your legal adviser, and accounting or payroll software you use.

The enquiry form on this website

If you submit an enquiry through this website, we collect the name, email address, entity name and message you provide. We use that information solely to respond to your enquiry and, if you become a client, to establish and administer that relationship.

We do not use enquiry form submissions for marketing, and we do not add the addresses to any mailing list.

Why we collect, hold, use and disclose personal information

We handle personal information in order to:

  • Provide the accounting, taxation, advisory and compliance services you have engaged us for
  • Prepare and lodge documents with the Australian Taxation Office, the Australian Securities and Investments Commission and other authorities on your behalf
  • Verify identity where we are required to do so
  • Communicate with you and respond to your enquiries
  • Administer our relationship with you, including billing
  • Meet our own legal, regulatory, professional and record-keeping obligations

Disclosure to others

We disclose personal information only where it is necessary for the purposes described above, where you have consented, or where we are required or authorised by law. Recipients may include the Australian Taxation Office and other government agencies, your other professional advisers where you have asked us to liaise with them, auditors (including the independent auditor of a self-managed superannuation fund), and our own professional advisers and insurers.

We may also disclose personal information to the service providers who support our practice, including accounting, taxation, payroll and document management software providers, and information technology and secure hosting providers. We take reasonable steps to ensure those providers handle personal information consistently with this policy.

We do not sell personal information, and we do not disclose it for the purpose of allowing others to market to you.

Disclosure outside Australia

Some of the service providers we rely on store or process information outside Australia. This website is hosted on infrastructure that may store data in the United States and other jurisdictions, and the email service used to deliver enquiry form submissions is also based overseas.

Where we disclose personal information to an overseas recipient, we take reasonable steps to ensure the recipient does not breach the Australian Privacy Principles in relation to that information, as required by Australian Privacy Principle 8.

How we hold and protect personal information

We hold personal information in electronic systems and, where relevant, in physical files. We take reasonable steps to protect it from misuse, interference and loss, and from unauthorised access, modification or disclosure — including access controls, secure hosting, and restricting access to those in the practice who need it.

We retain records for as long as we are required to by law and for as long as they are needed for the purposes described in this policy. Taxation and corporate records are generally subject to minimum retention periods, and we retain them accordingly.

No method of transmission or storage is completely secure. If a data breach occurs that is likely to result in serious harm, we will respond in accordance with the Notifiable Data Breaches scheme under the Privacy Act.

Accessing and correcting your information

You may request access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading. Contact us using the details below.

We will respond within a reasonable period. There are limited circumstances in which we may decline a request — for example where giving access would unreasonably affect another person's privacy, or where we are prevented by law. If we decline, we will tell you why in writing and explain how you can complain.

Cookies and website analytics

This website does not set advertising or tracking cookies, and we do not use advertising services or follow visitors across other websites.

We use a privacy-focused analytics service provided by our hosting provider to count page views and understand which pages are used. It does not use cookies, does not store anything on your device, and does not identify you personally. Our hosting provider also records standard technical information such as IP addresses in server logs for security and operational purposes.

Making a complaint

If you believe we have mishandled your personal information, please contact us first using the details below. We will acknowledge your complaint, investigate it, and respond in writing within a reasonable period.

If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner at oaic.gov.au, or by telephone on 1300 363 992.

Changes to this policy

We may update this policy from time to time to reflect changes in our practices or in the law. The current version is always available on this page.
